better. Another manager or engineer might see something that you
walk past every day and do not notice.
Do not forget to include your vendors as part of your team. Walk
around the building with your vendors. Pay special attention to
the items within the judging sheets that pertain to their services.
Work together to come up with a quality action plan. Your vendors
will benefit from a TOBY win, as it demonstrates to others in our
industry just how well they can perform. This promotes potential
business for the vendors and may be used when competing for
additional business. If you do win, make sure to mention your vendor’s partnership and efforts in procuring that win. This is one of
the best opportunities for advertisement a vendor may get in front
of a large commercial audience.

attention. As an example, if the parking lot needs to be resealed,
and the cost is in the capital budget for next year, let the judges
know and show them your five year capital budget. If you do not
mention this to the judges, they will think your team missed this
detail and did not notice that this particular item requires attention.
This may cause a deduction in points.
Another important point to remember is that the judging is based
not on how attractive your building is, but how well you run the
building under the provisions of the building budget. If the ownership will not replace the roof, show the judges that replacement
was requested and denied or deferred.
Another important point to remember: Do not be complacent and
assume the judging sheet will remain the same as the previous
year. Most of the time the judging sheets do not change, but there
are additions and deletions to a particular years judging sheets. A
judging sheet may now require evidence of an evacuation drill, certificates of insurance for tenants and vendors, and/or a certificate
of occupancy or business license.
If you have time, you can prepare display boards that show photos
of your building events. This will allow you to discuss these items,
show a PowerPoint presentation or provide a photo binder of these
items and certificates. Some entrants also prepare a cheat sheet for
themselves. Use whatever method works best for your team. The
point is to make sure the judges are aware of your building events.

Demonstrate to the judges the steps you have taken to keep the
roof from deteriorating. This will show how well you manage that
asset with what funds are available.
