FROM THE CLAIMS STAFF Joanne Norman, Claims Manager Maximize Your Reimbursement As I began writing this article, I was reminded that it is often the little things that matter. Like going to the coffee pot in our office and finding a freshly brewed pot or for a provider it could be the giggle of a toddler enjoying a favorite toy. It is also the little things that matter when it comes to your monthly food program claim. Taking just a few minutes to review your claim and the related paperwork before submitting or mailing can maximize your reimbursement. It can also save you time and help ensure that your claim is able to be processed without delay. A frequently overlooked item. We want you to maximize your reimbursement so as a value added service we contact you when you submit a claim with missing or expired child enrollment forms. We ask if you would like us to process your claim without the form resulting in lower reimbursement or hold the claim until the enrollment form is received, maximizing your reimbursement. To get the most from your claim mail all child enrollment forms and updates so they are received in the PCI office by the last business day of the month. When incorrect CE numbers are used, it can create a number of different issues that include deductions for over license capacity and lower reimbursement. Be sure to avoid this by verifying CE numbers on our website, view or print a Child Enrollment Master List or call our office for assistance. Compare the CE number for each Child to the number in the Minute Menu program or the number recorded on the scanner form. Incomplete forms. We can’t process forms that are not completely filled out. Rather than processing your claim without these forms, lowering your reimbursement, we return the form to you. Waiting for the form to be returned to us causes a delay in your reimbursement. Be sure to check for missing signatures and dates. On CE forms the hours, meals and days in care are often missing so review these areas carefully. License and variance. Please send a copy of all licenses and variances to our office as soon as they are received. This allows us to reimburse you correctly according to the capacity allowed by your county licensor.
