The items that we will need from you include: Clarify team roles and responsibilities of client team members that will be interfacing with JLL on transition Current lease portfolio in order to determine transactions that need immediate attention along with prioritizing future transactions. (Will also ask client to identify any new or future pipeline projects Current lease and reporting process documents along with a request to review JLL’s standard process documents. This will allow JLL and client to agree and implement a new process document for future transactions Preferences on project status meeting schedule along with specific Key Performance Indicators that will be tracked on a go forward basis Also included in this kick-off meeting, all active Zendesk assignments will be reviewed to understand their status and associated risks, and we will reach an agreement on our role and responsibilities for each. For example: For those transaction and project assignments that are well advanced (e.g. a new location is already short-listed and negotiations are complete or substantially progressed, or a fit-out project that is well advanced), then we will likely recommend leaving the assignment with the incumbent service provider to conclude in full, with perhaps JLL cross-checking the final terms to ensure that they are market competitive, or overseeing the project for a reduced project management fee. For those assignments that have just commenced, we will probably recommend their full transition to JLL as soon as practical. In these cases, we will explore whether some form of compensation sharing is fair and appropriate with the exiting provider. An interim communications plan is essential to ensuring a smooth and rapid transition. The most important element of our communication plan is a scheduled weekly meeting. The meetings provide a forum to update you on the progress of the transition plan, discuss the status of immediate action items and projects being addressed and get input on outstanding questions / issues that have not been addressed in the day-to-day execution of the transition plan. The collective learning gained from numerous transitions over the past couple of years, which mitigates the risk of missteps throughout the process, will be applied to your transition. Systems and tools are in place to confirm that we are simpatico with your real estate team and are productive from day one.
