Data Driven Strategies for Improved Site Activation | Page 4

We’ve run into a situation where the project team didn’t set expectations for site activation based on Clinipace Worldwide’s or the sponsor’s historic data. The sponsor believed the team was behind schedule. Once the data was gathered and the project team’s performance was measured against historic data, it turned out that the team was well ahead of historic norms for those sites. This process also identified a relative bottleneck in the sponsor’s legal process that was adding several days to the site activation timeline. Figure 2. Historical and real-time data from trial sites, Clinipace Worldwide, and sponsors are collected and stored in TEMPO to enable condition-specific forecasting of site activation and enrollment timelines, as well as risk-based monitoring. This availability of data, combined with the experience of Clinipace Worldwide’s employees, has driven process changes that streamline the study start-up process. Following identification of potential sites and execution of a signed Non-Disclosure Agreement, a link to an electronic, web-based feasibility questionnaire is sent to the sites via email, which reduces paper and postage costs, reduces the manual handling of data and errors associated with data entry, and improves response rates compared with paperor email-based documents (Figure 3). The compiled data can be easily sorted and saved for reporting purposes and site selection for the pre-study site visit. clinipace.com 3
