T R A N S P A R E N C Y KEEPING YOU IN THE KNOW NEW COMMUNICATIONS TOOLS How can the City keep its more than 185,000 residents informed in real time about issues that affect their quality of life? That’s the challenge that the City’s newly re-organized Communications Department tackles everyday. In 2017, the department changed its staff structure and added several new communications tools and upgrades in order to keep residents, businesses and others with a stake in the community in the know about everything from recreational opportunities to the City’s budget. In January 2017, staff began producing the City Manager’s Bi-Weekly, a report which has evolved into an attactive, easily readable, interactive magazine with highlights and updates from City departments. It is produced twice a month, and citizens can now subscribe to have each new edition of the magazine sent directly to their inboxes. All editions can be found on the City’s website. Communications staff works closely with all departments to tell the City’s story through a variety of outlets. These include press releases on City news, informative, one-page fact sheets on specialized issues, re-vamped e-newsletter, videos for social media and PSL-TV 20, daily social media posts and full-length magazine-style feature stories on topics of interest to the community. The City received more than 500 inquiries from the media during the past year, and it is staff’s goal to respond accurately and timely to each and every request. City Council meetings are broadcast live on PSL-TV 20 on NEW MEETING Comcast and, during the past year, they also are available on Channel 99 on U-Verse. The meetings are streamed live MINUTES and archived on the website. But if citizens need to find out information about a meeting item quickly, without watching the meeting, the City has made some internal changes to make that as easy as possible. In June 2017, the City Clerk’s Office moved from transcribing verbatim minutes and began producing summary minutes. Summary minutes are to the point, provide clear and concise actions and directions that were given by the City Council/Boards at their meetings. This has resulted in an expedited process for minutes distribution. A link to the televised meetings is included at the bottom of the summary minutes, to provide easy access to the public of the more detailed information that took place at the various board meetings.
